For over a century Associated Humane Societies have offered a haven to abused and neglected animals.  Founded in 1906, AHS is the LARGEST animal sheltering system in New Jersey.  We operate three shelters located in Newark, Tinton Falls and Forked River.  Our Forked River facility also includes Popcorn Park.  Established in 1977, Popcorn Park is a sanctuary for abandoned, injured, ill, exploited, abused or elderly-exotic animals, birds, farm animals and wildlife (both domestic and exotic).

WHO WE NEED 

AHS is looking for an energetic, enthusiastic Assistant Director of Operations.  In this vital role, the Assistant Director of Operations will be the right-hand support of the Chief Operating Officer in bridging long-term AHS goals with day-to-day operational excellence.  This role leads operational administration while engaging with contracts, data and reporting for a variety of stakeholders. The ADOO will handle logistics for events as well as all shelter operations.  They will work closely with the entire AHS team as well as outside vendors, visitors and other members of the public. 

 

WHAT YOU CAN EXPECT TO DO 

  • Ensure animal shelter best practices are being followed across the organization through cross communication, standard operating procedures & partnership with the COO 
  • Track, trace & report on operational goals & objectives set by the COO 
  • Shelter reporting which includes state, national & local reports as well as weekly shelter reporting to the COO & preparation of board materials when needed 
  • Assist with ordering and cultivating relationships with new vendors 
  • Handle inquiries submitted through ahscares.org in partnership with applicable team partners. 
  • Acts as the COO’s eyes/ears to report issues, concerns, operational deficiencies & safety concerns 
  • Assist in reviewing, tracking & obtaining municipal contracts while following & reporting on corresponding statistics.  
  • Liaison for Best Friends Animal Society & other best in class national rescue organizations to cultivate a closer operational partnership  
  • Provides shelter support for questions, issues & coordination of activities across AHS Provide shelter support for questions, issues & coordination of activities across AHS. 
  • Monitor animal inventory, review length of stay and court holds, and ensure each animal has a clear exit plan in place. 
  • Provide oversight to volunteer coordinators and the volunteer programs across the organization 
  • Assists with the budget process & staying on budget in partnership with the COO & Finance 
  • Perform other duties as assigned by the Chief Operating Officer 

                     

                    WHAT YOU NEED 

                    • Minimum of 5 years’ experience in shelter operations preferably in a management capacity.   
                    • Demonstrated strength in relationship management.  
                    • Exceptional attention to detail & ability to problem solve issues 
                    • Excellent verbal, written and interpersonal communication skills. Ability to create reports from varied data points 
                    • Ability to work independently and travel to meetings and conferences as needed.   Experience with ordering, vendor management, following a budget & managing organizational financial resources

                  Foundations & Corporate Relations Officer

                  TITLE:

                  Foundations & Corporate Relations Officer

                  DESCRIPTION:

                  POSITION OVERVIEW

                  The Foundation and Corporate Relations Officer (FCRO) will manage all aspects of AHS foundation and corporate program and is responsible for the development and maintenance of AHS grants and sponsorship program. The FCRO will work closely with the Director of Development, and other AHS staff and Board members as needed, to support fund development activities and meet fundraising goals.

                   

                  RESPONSIBILITIES:

                  • Maintain a portfolio of 75-100 mid-level corporate and foundation donors and prospects; build and maintain relationships with new and existing donors.
                  • Manage all aspects of foundations writing for grants, letters of inquiry, and follow up reporting.
                  • Responsible for securing AHS annual grant revenue target; maintain relationships and activities with existing grantors; develop annual plan and budget for grant revenues; and carry out the day-to-day operations of the program.
                  • Research and identify prospective new grant makers.
                  • Develop funding concepts and write proposals, applications and letters of inquiry.
                  • Supervise receipt of grants, communications, and maintain relationships with all granting agencies and individuals.
                  • Prepare all reporting necessary for grantors.
                  • Prepare annual calendar to manage funding deadlines.
                  • Liaise with Finance department to ensure tracking and fulfillment of grants.
                  • Liaise with Program department colleagues to stay abreast of all programs, projects and initiatives and attend all program meetings to stay current on AHS work.
                  • Work with the CEO, Director of Development, Program and other staff regarding the cultivation and maintenance of relationships with grant-making organizations.
                  • Maintain donor records in donor database, including ongoing updates to donor and prospect constituent records, entering financial gift information, and prospect research and reporting.
                  • Analyze data and create reports, as needed related to historical and current giving, donor strategy, and fundraising activity.
                  • Other responsibilities related to securing grants that may arise.
                  • Obtain and organize data necessary for proposal writing and reporting.
                  • Track all necessary donor data, including contact reports, actions, and proposals in Donor Perfect database.
                  • Assist in preparing solicitation materials, gift agreements, and presentation materials.
                  • Provide support for AHS Leadership and Program staff in meeting and proposal preparation and follow-through.
                  • Attend and support special donor-related events when necessary.
                  • Develop strategies for donor stewardship.
                  • Perform other duties as assigned.

                  AHS is looking for a strategic and enthusiastic Major Gifts Officer to develop and implement our Major Gifts Program. In this role, you’ll be responsible for managing a portfolio of existing major donors, cultivating and upgrading mid-level donors and identifying new prospects to support AHS’ annual and campaign fundraising goals. This role requires collaboration within the development team and across all program areas.

                   

                  Responsibilities:

                  • Personally manage a portfolio of major gift donors and prospective major gift donors to increase the amount of their financial support of AHS.
                  • Conduct research on the giving potential of current donors and identify prospective new major and campaign donors.
                  • Under the direction of the Director of Development, and in collaboration with other staff in accordance with the department’s development plan, devise, coordinate, and implement personalized short, intermediate, and long-term major donor cultivation, contact, and solicitation, strategies for prospective, and existing donors.
                  • Craft effective proposals, reports, acknowledgements, campaign case for support and reports and other related communications.
                  • Plan and execute various donor cultivation and stewardship activities throughout the region, including visits with individual donors, produce small gatherings and house parties, coordinate with other staff on development opportunities during other program activities, and events, such as inviting donors to attend a conference or community events.
                  • Support senior staff or board members engaged in donor cultivation and solicitation in this region.
                  • Maintain current and accurate records in donor database. Provide regular and consistent reports to Director of Development, CEO, and Board as needed.
                  • Support the overall long-term financial strength of AHS by serving as the primary contact for planned giving inquiries from within the major gift portfolio.

                  Qualifications:

                  • Minimum of 5 years’ experience in fundraising in a non-profit organization, campaign fundraising experience is a plus.
                  • Demonstrated strength in relationship management.

                  Veterinarian

                  TITLE:

                  Shelter Veterinarian

                  DESCRIPTION:

                  The Associated Humane Societies Newark location is currently seeking (2) full time NJ licensed veterinarians. This is a great opportunity to care for the pets in the community through our Mobile spay/neuter unit as well as the animals in our shelter! We serve a diverse client base and seek to provide high quality care compassionate care and a positive atmosphere.

                  Veterinary Technician

                  TITLE:

                  Veterinary Technician

                  DESCRIPTION:

                  Our Veterinary Technician Assistants work under the direction of a veterinarian to aid veterinary technicians in providing medical care to our shelter animals.  Including but not limited to intake screening protocols, surgery, behavior, husbandry, and overall wellbeing of our animals. This position is an invaluable part of medical department. We are looking for employees who will bring their passion and unique skills to the table. Previous experience working with animals in a veterinary or shelter setting is preferred but not required, we are happy to train the right candidate. Pay is $16 to $20/hr. with plenty of opportunity for advancement.  Full-time and Part-time positions available.

                   

                  Under the direction of a veterinarian, assists the veterinary technicians in providing medical care to animals.  Including but not limited to intake screening protocols, surgery, behavior, husbandry, and overall wellbeing of our animals. Time distribution of duties: Medical care (60%) Operational and Administrative support (20%) Housekeeping and Maintenance (20%)

                  RESPONSIBILITIES:

                  • Communicates daily with the Shelter Veterinarian and Veterinary Technicians
                  • Learn and understand basic medical terminology
                  • Low stress, safe, and effective handling of animals entering the shelter
                  • Determine age, sex, and breed
                  • Learn to identify sick or injured animals and report to technicians
                  • Medicate and provide basic husbandry of sick animals
                  • Obtain basic vitals of animals
                  • Assist in obtaining diagnostics (radiographs, blood work, cultures, etc.)
